One of the incredible features of Salsa is the Live Gallery – a gallery that showcases all captures and updates in real-time throughout the event.

The Live Gallery allows your client and their guests to view, download, and share their captures. Pair it with the Portfolio and you can turn them into future bookings!

What Is a Live Gallery?

 

A Live Gallery is a website which stores all of the captures from your event for your clients and guests to view during or after an event.

A link to the Live Gallery is sent to guests who use your booth – either through the Salsa iOS app or Virtual Booth – so that they can view their own captures.

The Live Gallery is updated in real-time, so long as the booth has an Internet connection.

Adjusting the Live Gallery settings allow you to:

  • Add branding

  • Share company information

  • Customize sharing options

  • Set the gallery privacy

How Do Guests View the Live Gallery?

 

Guests are provided a link to their capture on the Live Gallery after sharing it to themselves either on Salsa at an in-person event or in a Virtual Booth event. However, not all sharing options provide the Live Gallery link.

These sharing options will provide a link to the Live Gallery:

AirDrop and AirPrint do not include a link to the Live Gallery.

If in Offline Mode, guests will receive their link once Salsa is connected to the Internet and the captures have finished uploading.

You can optionally add the Live Gallery website address to an overlay if your event includes printing.

Live Gallery Settings

 

All of the Live Gallery settings can be changed before, during, or after an event from the Salsa web app.

The first section covers the general settings for your Live Gallery:

  • Full Gallery View: Enables or disables the Live Gallery for the event. Disabling this feature will allow guests to see their own captures, but they will not be able to see all other captures at the event.

  • Accent Color: Changes the color used for the buttons and menu bars on the Live Gallery, Virtual Booth, and Proposals.

    • Note: This also changes the Start Virtual Booth button if a Custom Start Button is not being used.

  • Gallery Subdomain: Allows you to customize the link for the Live Gallery. By default all Live Galleries are hosted on www.boothpics.com. Changing this will replace the “www” with whatever you enter.

    • Note: This feature is not available in Salsa Plus

  • Password Protection: Allows you to set a password that will be required in order to access the full gallery. Guests will still be able to see their own capture without the password.

    • Note: The password is included in email shares. The password is not included with text messaging shares.


Prevent Guests From Viewing All Captures From The Event

 

For some events you may want guests to view their own captures only, and prevent them from viewing the entire gallery. To do this you can do one of two things:

  • Turn off Full Gallery View

  • Turn on Password Protection

How To Turn Off Full Gallery View

  1. From Configure Event, go to Live Gallery

  2. Toggle off Full Gallery View

When the full gallery is turned off, the entire gallery will be turned off and guests will not have the option to “view all captures”.

The gallery cannot be viewed by either the guests, client, or yourself when Full Gallery View is turned off.

How To Turn On Password Protection

  1. From Configure Event, go to Live Gallery

  2. Toggle on Password Protection

  3. Add a gallery password

  4. Optionally, you can add a password hint

When password protection is turned on guests will be prompted to enter in a password when they click “view all captures” on their individual capture page.

If added, the password hint will show if an incorrect password is entered.

Note: The gallery password is included with email shares only. They are not included in text message shares.


How To

Customize the Live Gallery Link

 

Customizing the link to your Live Gallery is a quick and easy way to make it unique and provides a branding opportunity for you or your client.

  1. From Configure Event, go to Live Gallery

  2. Click the edit pencil icon next to Gallery Subdomain

  3. Type in the desired subdomain

Important:

  • You can only use letters and numbers for the subdomain

  • Do not add any spaces or special characters

  • If you have one, this is replace the general Portfolio and Live Gallery subdomain set in Manage Account > Information

What To Know

Lead Section

 

The Lead Section is the top section of your Live Gallery which displays the event name. You can also add a tagline for your event as well as a logo which can include a clickable link.

  • Logo: Add a JPG or PNG file to be displayed at the top of your Live Gallery.

  • Event Name: Displays the name of the event at the top of the Live Gallery. The event name can be changed from Event Info settings.

  • Logo Link URL: Allows guests to be directed to a specific website when they click the logo.

  • Tagline: Add a tagline, or short message, below the logo and name of the event. If a tagline is not included, the number of captures will be shown instead.

Note: The Logo and Tagline settings are also used for designing the Virtual Booth. The Logo selected will be used for the event’s Proposal.


Featured Image

 

By default the Feature Image section will display the first three captures from the event. Upload a JPG or PNG image to be used as a cover photo behind the lead section on the Live Gallery.

Keep in mind how the image is displayed will vary based on the size of the screen the Live Gallery is viewed from.

File Formats: JPG, or PNG
Maximum Size: 5 MB

  • Minimum Dimensions: 500 x 250 pixels

  • Recommended Dimensions: 1600 x 800 pixels

Note: The Featured Image is also used for designing the Proposal.


What To Know

Overlay Mode

 

The look and feel of the featured image section can also be adjusted by changing the Overlay Mode between Light and Dark.

  • Light Mode: Featured Image section will be brighter and display the event’s name in black font.

  • Dark Mode: Featured Image section will be darker and will display the event’s name in white font.


What To Know

Social Sharing

 

In the Social Sharing section you’re able to choose which social media platforms you’d like to show for guests to use for sharing.

Additionally, you can add either a Default Sharing Caption for all platforms or create specific captions for each platform. These captions will be added along with the link that guests share.

Important:

  • The options to download the capture or share by email, link, Instagram, and Snapchat can only be disabled by turning off Social Sharing entirely.

  • Options to share to Instagram and Snapchat are only available when viewing the Live Gallery from a mobile device. They will not appear on desktop browsers.


What To Know

Customizations

 

The Customizations section allows you to create a Call to Action (CTA) button. This button is prominently displayed in both individual capture pages and the full gallery.

The CTA button is a great opportunity to drive guests to another website, whether it’s your site to book an event, the venue’s upcoming events calendar, or a donation page for a charity event.

  • Button URL: Enter in the website address that you would like to direct your guests to when clicked.

    • Note: The website address needs to start with https:// in order for it to be accepted.

  • Button Label: Enter the text that will show up on the button.

  • Button Color: The color of the button is set by the Live Gallery’s accent color.


What To Know

Company Info

 

The Company Info section allows for you to provide your company’s website, phone number, and social media links.

This information will be accessible by clicking the three dots on the Live Gallery’s menu bar and is displayed where your client and their guests can find where to contact you.

  • Headline: Enter in your company or business name

  • Email: Enter in a contact email address

  • Website URL: Enter in your company’s web address

  • Phone Number: Your company’s phone number.

  • Facebook: Enter a link to your company’s Facebook page.

  • Twitter: Enter a link to your company’s Twitter page.

  • Instagram: Enter a link to your company’s Instagram page.

  • Terms and Conditions URL: A link to your company’s Terms and Conditions page.

  • Privacy Policy URL: A link to your company’s Privacy Policy.

Note: Information filled in will also be displayed in the event’s Virtual Booth and Proposal.

Tips and Tricks

  • All web address/links need to include the https:// or http:// in order for it to be accepted.

  • Adding hyphens (-) to the phone number can improve readability

  • If your company does not already have a terms and conditions page, you can use TermsFeed to generate and host a terms and conditions agreement.


What To Know

Slideshow

 

The Live Gallery Slideshow feature allows for guests to start a video that plays through all of the captures from an event – both in-person and virtual – straight from their computer, tablet, or smartphone.

The slideshow is automatically updated as your guests take photos, videos, GIFs, and Boomerangs.

Because videos can extend to 120 second in length, video captures will only playback a short clip of the video without audio while in Slideshow mode.

Note: Slideshow requires a Salsa Pro subscription.


How To

Project or Display a Live Gallery Slideshow at an Event

 

Slideshows can be played on a variety of devices which allows you to display captures from the event from nearly anything.

This is a great opportunity to show off the booth and draw in traffic during an event.

Most Common Setups:

  • Computer, tablet, or smartphone connected to a project

  • A smart TV with a built-in browser

  • A TV or projector with a connected Amazon Fire Stick

All you need to do is load the event’s Live Gallery link into the device’s browser and click Slideshow from the gallery’s menu bar.

The video will continue to play in a loop and new captures will be added as they are taken.

Note: An internet connection on Salsa and the device playing the slideshow is required to start and update the slideshow.


Upload Additional Captures to the Live Gallery

 

There may be situations where an event had multiple cameras and you want to provide a place for guests to view and relive every memory.

To upload additional photos or videos:

  1. Click Upload Captures from the Event Dashboard

  2. Drag and drop or select JPG or MP4 files from your computer

  3. The files will begin to upload and will be displayed on the Event Dashboard and Live Gallery
